The objective of this procedure is to prevent loss of sensitive information. Each Employee and/or Associate must adhere to the following parameters strictly: ● Documents must not be left unattended on the desk or public areas for any reason. ● Copiers & Printers should be located in secure areas and due precaution must be taken while using these equipment. ● Ensure that the printouts you have given are collected and to not to leave unattended. ● Ensuring that confidential or sensitive information should not be left unattended or left in the copiers / facsimile machines. ● It is the responsibility of each employee / associate to either collect these documents immediately after copying , printing and/or receipt in case of a fax. ● This is especially critical for classified and confidential information. ● Only a required number of copies should be printed on network printers and bulk printing should be avoided. ● In case hard copies are being maintained, filing of papers should be done promptly. ● Important files/documents must not be left by employees / associates, on their work desks, in conference rooms, copiers, printers and public areas. ● Filing cabinets / side tables provided should be kept under lock and key all the time. ● Confidential and sensitive papers when not required should be destroyed through shredders provided at convenient locations in premises. ● Facilities have provided dustbins & trio dustbins at employee work areas to enable disposal of waste paper. ● Wherever paper is being re-utilized for rough work, as writing pad material etc., care must be taken that these are not left behind in the open, especially when copies of mails or communication with business data etc., are used for the purpose. ● It is the responsibility of the Facilities Department to dispose of the shredded waste in a proper manner that does not allow re-construction. ● Desktop / Laptop should have the screensaver turned on with password protection, or switched off when the employee /associate is away from his /her desk / work area.
